Big Phoenix groups start roughly three times earlier than small ones. Forty-plus organizers call a median of sixty-six days ahead, against twenty-three days for groups of ten or fewer. The cohort behind that is small, so read it as a direction, but the direction is unmistakable.

Day of the week is your other lever, since Friday and Saturday soak up four out of five requested dates. If your forty are conference attendees or wedding guests who need a seat rather than a party, the 40-passenger coach bus has forward-facing recliners, reading lights and under-bus luggage storage. A 40-passenger party bus is about as long as a full-size coach: it needs designated bus loading, wide turns and a planned staging spot, so it won't go down Old Town's side streets or into most restaurant lots. Build a five-minute walk into the plan at busy venues.

A bus this long needs somewhere it can actually wait. Check that it can reach every address on your list, and pick a nearby legal meeting point for the ones it cannot — some resort and residential driveways are simply too tight.

It's a separate seating area at the back, away from the dance floor and the main speakers. Groups use it for the guest of honor, for older relatives, or simply as the place you can have a conversation without shouting. With forty people aboard, that second zone is what stops the whole bus from feeling like one very loud room.
One bar for forty people makes a line, and that line ends up standing in the aisle. Multiple wet bars spread drinks and ice down the cabin so people at the back aren't pushing through the dance floor to get a refill. It also lets you organize by type, say water and mixers at one and everything else at the other.
Wide arterial roads with bus or loading zones, resort drives and private lots, not the tight blocks between bars. Your chauffeur picks the closest legal spot, usually along Scottsdale Road or Camelback, and you walk the last stretch. For the ride home, name a specific corner and a time, because forty people can't be collected one at a time.
Sometimes, and it's worth checking rather than assuming. Height clearance and turning radius are the limits, and the big Scottsdale and Paradise Valley resorts generally handle a bus this long under the main canopy. Yes, and the lounge earns its keep with a mixed crowd, since not everyone at a work event wants to dance. Decide in advance whether the bus is transportation to a venue or the party itself, name one organizer as your chauffeur's contact, and share the itinerary with staff beforehand. December weekends go fast, so send holiday requests in early fall.
Frequently, but ask for both quotes. One large bus means one chauffeur and one vehicle, and the total gets divided by more riders. Two 20-passenger buses give you flexibility when pickups are in different cities. Per-person shares do tend to fall as groups grow, but your date and hours decide the real answer.
Longer than a car. A large bus accelerates gently and stays out of the fast lane, and Friday traffic on the I-10 and Loop 101 is slow from roughly 3:30 to 6:30pm. Allow sixty to seventy-five minutes from the far East Valley to Glendale at rush hour. Starting at 7pm instead of 5:30 often saves you twenty minutes of paid time.
