The short answer
What size coach bus does your group need?
Take your firm headcount, add a little for late additions, and pick the next coach at or above that number.
A 27-person company group belongs on the 30-passenger coach. A 52-person tour belongs on the 56-passenger coach bus, the largest we run. The ladder climbs two seats at a time, so you rarely pay for more than a row of empty seats.
Coaches move people; they do not entertain them. Seats face forward and recline, there is a PA for announcements, and the bigger sizes carry luggage underneath. If your group wants music, lights and a dance floor, the same headcount fits a party bus up to 45 seats.

How large Valley groups plan
Big groups are a small share of what we do, and the ones who plan furthest ahead.

Big groups plan roughly three times earlier than small ones. If you are moving 40+ people, two months of runway is typical.

Large vehicles are a smaller part of any fleet. Groups over 30 should lock a date early because there are fewer buses that fit.

Weddings split into two jobs: a smaller ride for the wedding party and a larger shuttle for guests. Quote them separately.

How to choose
Match the coach to the job
If you are organizing a trip for thirty or more people, there is a good chance you are doing it for the first time. Groups that size are a small slice of what the Valley books.
Here is how the common jobs map onto coach sizes.
Moving wedding guests
Couples book a coach to move guests, not the wedding party. Valley wedding groups run twice as large as a normal trip, and more than four in ten are over twenty people.
For a hotel block five to fifteen minutes from the venue, one 40-passenger coach running loops usually beats two small vehicles running once.
Desert venues in north Scottsdale and the far East Valley often have long private drives. A shuttle-style coach like the 32-passenger handles those better than a full-length motorcoach. Couples here sort transportation about eleven weeks out, right after the venue and the timeline are set.
Company groups and conventions
Size the coach to the biggest arrival wave, not the whole attendee list. Thirty people landing inside the same hour fit the 36-passenger coach with bags underneath.
For a full-company outing, the 50-passenger coach bus keeps everyone on one manifest. A leadership team of 14 or fewer is better off in an executive Sprinter.

Teams, schools and church groups
These trips live or die on headcount accuracy and gear. A youth group of 22 with two leaders fits the 24-passenger coach — count the leaders as riders.
A team of 35 with staff and equipment should be looking at the 42, so bags are not riding on laps. Luggage bays underneath start at 30 seats, and that is the dividing line for anything with equipment.
Day trips and the long drives north
Sedona is about two hours from central Phoenix and the Grand Canyon about three and a half. At that distance comfort stops being a nice-to-have.
What starts mattering on the ride home:
- Reclining seats and a restroom, so you are not stopping twice each way.
- Reading lights and screens, which the 40-seat coaches and up carry.
- A second restroom on the 46-passenger coach and above, which is what family reunions and tour groups of 40-plus tend to want.

On the road in the Valley
Running a big group around the Valley
Budget it per seat
A coach looks expensive until you divide it. Put the quote into the event budget planner next to what 50 people would spend on parking and rideshares over the same day, and it usually stops being the expensive option.
Loading takes longer than driving
Fifty people need ten to fifteen minutes to board and settle, and longer with luggage. Build that into every stop on the plan.
On a shuttle loop, the turnaround at each end usually matters more than the drive between them. One person with a printed list standing at the door is the best thing you can do to keep a coach on time.
Know where a big bus can stop
Downtown hotels, the convention center, State Farm Stadium and the big Scottsdale resorts all have space built for coaches. Old Town side streets, smaller wineries and some trailheads do not.
Give us every address up front so the driver knows the approach, and expect that a 56-passenger coach may load a short walk from the door rather than right at it.

Plan around spring, use summer
February through May holds close to half the year's requested dates, with April the busiest month of the lot. Spring training, the Phoenix Open, prom and wedding season all want the same weekends.
Large groups already plan about two months ahead. In spring, go earlier than that — there are only so many coaches in the Valley.
Summer is the opposite. June through August is our quietest stretch, which makes it the easiest time to charter for camps, church trips and a cooler-weather escape up to Flagstaff.
