Thirty-eight to forty-two: a full roster plus coaches, trainers and managers, with nobody sitting on the steps.

The layout keeps a row clear for staff, so game plans get talked through instead of shouted down an aisle. Reclining seats, reading lights, a media system and screens, restroom, Wi-Fi, a microphone, power at every seat and gear bays underneath.

Thirty-nine or forty is the 40-passenger coach bus. Forty-three or forty-four, step to the 44-passenger coach bus. A smaller squad with a mountain of equipment often does better on the 34-passenger coach bus.

Book the season, not the game

Programs that hand us a whole season's schedule at once get the buses they want. Programs that call ten days before a road game get whatever's left. Large groups generally reach out about two months ahead — the athletic departments we work with are often further out than that.

February is the month to lock down first. It's the biggest single month for sports requests in the Valley, because the Phoenix Open and the opening of Cactus League play pull large vehicles toward fan and hospitality work at exactly the wrong time.

The flip side is that midweek games are easy. Four out of five dates we're asked about are Fridays or Saturdays, so a Tuesday or Thursday departure is competing with almost nothing. This bus also runs season-long charters to Tucson, Flagstaff and Yuma, band and spirit-squad trips, a large company field day or a charity golf shuttle.

The 40-passenger coach bus is the same class with two fewer seats and no dedicated staff row. The 44-passenger coach bus adds a row and starts to feel like shuttle equipment rather than team equipment.

If your travel party is actually thirty and the rest of the seats are gear, the 34-passenger coach bus is the better-value bus — you're paying for capacity you'd rather spend on bay space.

For the banquet or a championship night, the 40-passenger party bus is the party-layout counterpart. On the road, this length is a highway vehicle. University lots, stadium bus lanes and hotels with coach entrances are straightforward. High school lots built in the sixties are where you'll want to send us a photo of the gate.

Somewhere for the staff to sit together and talk without turning the whole bus into a meeting. Coaches review a game plan, a trainer sorts through paperwork, and nobody's leaning over a row of athletes to do it. It sounds minor until you've spent five hours on I-10 with a staff of six scattered through the cabin.
Depends on your numbers. Forty-two seats covers two smaller rosters with staff, but not two full ones with parents attached. Count coaches, trainers, managers and any travelling administrators before you decide. If the total is over forty-two, tell us early — two buses on the same itinerary is normal and easier to arrange than a last-minute scramble.
Film on the way out, something forgettable on the way back. This size has a DVD and media system with screens, and the inputs vary from bus to bus, so confirm your device with us at booking. Load whatever you're playing onto it beforehand — coverage between Phoenix and Yuma or Flagstaff won't support streaming.
Driver hours are regulated and there's a limit to how long a single day can run. It's worth asking us when you call, because the fix is usually simple if we know early — a later departure, an overnight, or a different plan for the return. Send us the game time along with the schedule, not just the address.
Often, but tell us what it is. The bays underneath take duffels, ball bags, coolers and tents without complaint. Pole-vault poles, rowing gear, large instrument cases and anything over about eight feet need checking against bay dimensions first. A five-minute conversation at booking beats discovering it at six in the morning on departure day.
That's the venue's call rather than ours. Most tournament complexes separate bus parking from general parking, sometimes by a long walk. If families want to meet the team at the bus after a game, pick a landmark away from the vehicle itself. It keeps the loading area clear and gets you moving faster.
The same class of vehicle, yes; the identical bus, not guaranteed. If you book a full season at once we can plan the whole schedule together, which is both cheaper and more predictable than booking game by game. Ask about a season quote when you send the schedule over rather than treating each trip separately.
