Nearly half the dates we're asked about land between February and May. Four months carrying half the year's demand, and they're the same four months the downtown hotels and the Convention Center are full, because meeting planners want the same weather everyone else does.

A conference needing shuttles in March is competing with spring training, prom, weddings and bachelorette weekends for the same large vehicles.

The structural advantage is the day of the week. Four in five requested dates are Fridays or Saturdays, and conventions mostly run Monday through Thursday — so weekday shuttle work draws on a fleet that's otherwise idle. This bus runs hotel-to-convention loops, Sky Harbor arrival waves, offsite dinners, festival park-and-ride service and whole-department retreat transfers.

Size the fleet to your peak hour, not your headcount. One 44-seat bus on a thirty-minute loop moves about eighty-eight people an hour. If four hundred people need to reach an opening session in sixty minutes, no amount of optimism turns that into two buses.

The 42-passenger coach bus keeps a staff row and suits teams better than shuttle grids. The 46-passenger coach bus adds dual restrooms and a refreshment area — things that matter enormously on a five-hour drive and not at all on a twelve-minute hotel loop.

If your peak demand is genuinely large, a full motorcoach like the 54-passenger coach bus moves more per run, though it loads slower and can't use every hotel drive. Mixed fleets are normal.

For a closing-night celebration, the 45-passenger party bus is the party-layout counterpart. This bus needs proper loading space: the Convention Center's assigned zones, hotel motor lobbies and venue bus lanes. Curbs on Monroe, Third Street and Washington are managed during big events, so get the assignment in writing.

Your event manager there confirms the location plus any permit or staffing requirement. Yes, if they're close together, as many downtown Phoenix hotels are. Every extra stop lengthens the loop and cuts your hourly capacity — three hotels might push a loop to thirty-five or forty minutes. Hotels in Tempe, Scottsdale or by the airport belong on separate routes. Posting fixed times beats promising continuous service.
Yes. The bays underneath take a bag per passenger with carry-ons overhead. Departure days load slower than arrival days, so allow fifteen minutes at the hotel rather than five. Schedule airport departures at least three hours before the main cluster of flights, because a ten-minute drive to Sky Harbor can triple in the afternoon.
Window signs with the event name and route are common and genuinely useful, and we can talk through what's permitted on the vehicle. Full exterior wraps are a different conversation and rarely practical for a three-day event. Ask when you request the quote. At minimum you want a clear sign in the front window and at the door.
