Plan it in the right order
Almost every planning headache we see comes from doing things out of order. Somebody picks a vehicle before they know the headcount, or asks for four hours before anyone has counted the stops. The tools are grouped to follow the order decisions actually get made.
1. Settle the headcount first
The typical Valley group is about fifteen people, which is awkwardly right in the middle. A group of 13 could ride in a 14-passenger limo Sprinter or stretch out in an 18-passenger party bus, and those are two different nights. Turn your invite list into a real number first, then let the capacity checker show you everything that seats it. Keep the names straight in the guest list manager, because the count only stays honest if somebody is watching it.

2. Build the clock before you ask for hours
Two out of three groups ask us for four hours, and four hours is genuinely fine for dinner and two bars in one part of town. It gets tight the moment pickup is in the East Valley and the night is in Scottsdale, because the Valley is more than fifty miles across. Check single legs in the drive time calculator and the whole loop in the route planner, then let the timeline tell you whether to ask for four hours or five.
Season matters as much as distance. Barely a fifth of the dates people ask about fall in June, July and August, and the groups who do ride in summer plan around the heat rather than pretending it isn't there. The weather checker gives you the monthly normals and sunset times, which is what decides whether your photo stop happens at 5:30 or 7:30.
3. Put money on the table early
The cost estimator doesn't invent a price. It shows what groups your size have been quoted, by hours and by day, so you can float a sensible range in the chat before anyone commits to anything. After that the split cost calculator works out who owes what, free seats included, and the tip calculatorhandles gratuity once you've checked whether it's already on your written quote. If the bus is one line in a bigger night, the budget planner keeps dinner, drinks and decorations in the same view.

4. Then plan the actual party
Seats, hours and money handled, the rest is the fun part. The drink calculator sizes the cooler and, far more importantly out here, the water. The music voter and the playlist calculator end the aux-cord argument before pickup instead of on the freeway. Theme, dress code, decorations and event name cover the group-chat decisions that otherwise drag on for a week.
5. Send us the lot
Most groups reach us about a month out, and a good quarter are inside two weeks. Whenever you get to it, a request with your headcount, your stop list and the hours you worked out gets a quote that matches the actual trip. Use the form at the top of this page, the quote request page, or just call (480) 347-0743. Still choosing a vehicle? Have a look through the party buses, or at where all these numbers come from.
What these won't do
- They can't check availability or hold a date. Only a confirmed booking does that.
- They don't quote prices. Past quotes are for planning; your written quote is the real number.
- They don't set policy. Alcohol, decorations, gratuity, deposits and overtime live on your quote, so ask us when you request it.
- They don't replace a forecast or a map. Check the weather and the traffic the week of your trip.
