Nothing is held until you have read the details and finished the booking steps that come with the quote. Asking costs you nothing and commits you to nothing.

We price each trip on its own because trips are not the same. A Saturday in April is the most fought over night of the Phoenix year and a Wednesday in July is one of the quietest, so the same 20-passenger party bus for the same four hours can fairly come out at two different numbers.

You can send the form without all of these. The more you put in, the fewer questions stand between you and a real number.

    The date, and when you want us in the driveway. If the date could still move, tell us which other ones work.

    Hours

    How long you want the vehicle, first pickup to last drop-off. Four hours is what most Valley groups ask for and our Friday and Saturday minimum; March–May Saturdays are six.

    Headcount

    Your confirmed number plus the realistic maybes. Coolers, luggage and strollers take up seats too, so count them.

  4. 04

    Pickup city and stops

    The address, or at least the city, and every stop you already know about. Flag the times that cannot move.

  5. 05

    Occasion

    Prom, wedding, bachelorette, game day, corporate. It changes which vehicles make sense and what we ask you.

  6. 06

    Must-haves

    A restroom for a long drive, forward-facing seats, room to stand, or a specific bus you saw on the fleet pages.

Reading your quote

Five lines to check before you pay

Read it the way you would read a lease. It takes two minutes and it saves the arguments later.

  • The vehicle. Is it the size and style you asked for? Hold it up against the photos on its fleet page.
  • The hours. Check the start and end time, and when the clock actually starts.
  • The total. Ask what it covers and what it does not. Gratuity especially.
  • Overtime. Ask how a late night gets billed. Nights run long when the last stop is a good one.
  • Payment terms. When is money due, and what happens if plans change? These come with your quote, so read them there instead of guessing.

A month out is normal. That is the middle of the pack for Phoenix groups, not a deadline, and what you are planning moves it a lot.

Small groups decide last. Ten riders or fewer usually ask about three weeks out, generally for a limousine or a Sprinter on a weekend night, and that works on most dates.

Big plans need more runway. Couples arranging wedding shuttles come to us about eleven weeks ahead, right after the venue is signed. Groups of forty or more, the ones who need a coach bus, ask a couple of months out, because there are fewer vehicles that size anywhere in the Valley.

Prom is the trap. Most families call about three weeks before the dance, even though four out of five of them want the same handful of April Saturdays. Ask six to eight weeks out and you are choosing from the whole fleet. Ask at three weeks and you are choosing from what is left. The prom party bus guide covers the rest of that night.

Budget from history, then get real

Most Phoenix trips have landed somewhere around $1,250 for the night. A small group of ten or fewer usually comes in lower, and a big party bus for twenty-five runs higher overall but cheaper per person, at roughly seventy dollars a head.

These are old quotes, not a price list and not an offer. They are good for one thing: telling the group what to expect before anybody commits money.

Yes, and you should. Send your best guess and tell us how firm it is. If you are between sizes, ask for both, say a 20-passenger and a 24-passenger party bus. Lists grow once invitations go out, so sizing up a little beats finding out on the night that two people have nowhere to sit.
One number for the whole trip: the vehicle, a licensed and insured chauffeur, fuel, insurance, taxes and the driver's gratuity, with unlimited stops inside your booked hours. Nothing gets added on the night. If you run past your end time there's a 15-minute grace window, and after that overtime applies at the rate on your contract, so book the hour if you think you'll use it.
A 50% deposit and a signed contract hold your date. The balance is due 7 to 14 days before the event, or in full at booking if your trip is inside a week. The person booking needs to be 25 or older and does a quick ID and card check with the contract. If a group is splitting the cost, collect before the balance date; the split cost calculator works out each share, and since gratuity is already in the quote there's nothing extra to add.
There is no cutoff, just fewer choices. About a quarter of Phoenix requests land within two weeks of the date, and plenty of those trips happen. Inside two weeks, call instead of sending the form so we can check availability while you are on the line, and stay flexible on size and start time.
It has, historically. Past Saturday quotes in Phoenix run around $1,550, against about $1,250 for a Friday or a Sunday through Thursday. Those are records of old quotes, not today's price. If your date can move, ask us for the same trip on both days and compare the two.
Book it if you think you will use it. Past four-hour Phoenix trips came in around $1,230 and five-hour trips around $1,500, so the hour has usually been a few hundred dollars up front. Adding it on the night depends on the bus not having another trip after yours, which is never a safe bet on a Saturday.
Usually, as long as you tell us ahead of time. Swapping one bar for another a block away is nothing. Adding a pickup in another city, or a stop clear across the Valley, changes the drive time and can change the hours you need. Send changes early so we can re-time the night before it starts, not during it.
