How Party Bus Booking and Deposits Work

A quote is not a reservation

This is the single most important thing to know. A quote holds nothing. Your vehicle and date are locked only when we have the signed contract and the deposit. Forty-nine percent of Phoenix requests are for Saturdays and another 31% for Fridays, so on a weekend the vehicle you were quoted can be booked by another group an hour later. If you like the number, send the deposit.

50% deposit + signed contract = reserved. Balance due 7–14 days before the event. Inside 7 days, pay in full at booking.

The booking steps

  1. Tell us where and when. Your pickup ZIP or address comes first because it decides which vehicles are available to you. Then the event date, group size, event type, preferred vehicle, and hours.
  2. We match the vehicle. We recommend the best-value option that still fits everyone. If a party bus is out of budget, that might be a smaller bus, a Sprinter, a limo, or a shuttle.
  3. You get one number. The quote is all-inclusive: vehicle, licensed and insured driver, fuel, taxes, and gratuity. We show 4-, 5-, and 6-hour packages rather than a raw hourly rate so the comparison is easy.
  4. Contract and deposit. The contract requires a 50% deposit (or payment in full if the event is within 7 days) plus ID and card verification for the cardholder. We also collect a main rider contact for the day.
  5. Balance. Due 7–14 days before the event. All balances are paid before anyone boards.

Payment details

Credit cards are standard. Other payment options may be available depending on the vehicle and date, and same-day reservations may require different handling. The cardholder must be 25 or older in Arizona and completes ID and card verification during the contract process. Booking for someone else — a parent for a prom group, an assistant for an executive — is fine: we need the payer's name and email (phone helps) and a rider contact.

What changes the price

  • Hours. Extra time is billed by the hour for your vehicle. For an all-inclusive quote the hourly rate is the total divided by the booked hours.
  • Distance. Trips beyond about 30 miles or out of state price on mileage and travel time rather than the standard local blocks. We quote the local rate first and confirm any adjustment before you book.
  • Long days. Bookings over about 12 hours need driver lodging or a second driver.

What does not change the price: the driver's tip (included), fuel (included), tax (included), and stops (unlimited within your hours).

"Can you lower the price?"

Our quotes are set to be competitive and already include tax, fuel, and gratuity, so we do not discount below the quoted all-inclusive rate. If a quote is more than you planned, the levers that actually move it are: a smaller vehicle that still fits, a Sunday–Thursday or daytime date where 3-hour minimums may apply, or fewer hours with a tighter route. July is the quietest month of the year and the easiest time to get a specific vehicle on short notice.

Changes, cancellations, and refunds

  • Changing vehicles after booking is difficult because nearby vehicles fill in. Confirm headcount before the deposit.
  • Extending mid-trip is not guaranteed; the vehicle may be booked afterward. Book the hours you expect to use — 25% of Saturday groups reserve more than four up front.
  • Deposits are non-refundable. Cancellations within 7 days are charged in full; special event dates are charged in full at any point. Outside 7 days, management may convert the deposit to a future credit. Cancellations must be in writing between 8:00 am and 8:00 pm.
  • If we cannot fulfill the trip — breakdown without replacement, closure, anything on our side — you get a full refund. Weather and road conditions outside our control are not refundable, but we will always try to reroute or reschedule first.
