Getting a group to Desert Botanical Garden

The Garden is one of the easiest Valley venues to bring a bus to: it publishes a bus loading and unloading zone and has bus parking on site. It sits in Papago Park, roughly ten minutes from Old Town, Tempe and Sky Harbor alike. How the shuttle loop works on a wedding night

Guests usually stay in Scottsdale or Tempe, both 10 to 15 minutes away, so one coach can do two pickups before the ceremony and two runs home at the end. Start the first pickup about 75 minutes ahead and the second load still arrives early.

Ceremonies here get built around the light, which means guests arrive in the late afternoon — and from April through October that's still hot. Keep the walk short, let people stay on the cold bus until seating opens, and ask your coordinator which event space you're in, because the Garden has several and they aren't next to each other.

Announce the last shuttle during the reception, not at the end of it. Set it fifteen minutes after the music stops and say the time out loud twice. It's the single thing that decides whether the night ends smoothly or with eight guests standing in a parking lot.

In December, Las Noches de las Luminarias is the group night. Tickets are timed, so buy them before you lock the pickup, and it makes a natural stop on a holiday lights tour. A general-admission group, a school visit and a private event check in three different ways. Send us the reservation name, the category, your Garden or event contact, and the entry time on the booking.

For a wedding or private function, add the contracted garden venue, because Admissions points guests from there. Your people need the address and the name to give at the gate; the driver needs the loading zone and someone to call if it moves.

Nobody should be standing on pavement

This is an outdoor desert venue with seasonal hours, so check the current schedule and the heat forecast close to your date. Pick a gathering spot that keeps people in shade, and finish the headcount before anybody walks out to the loading zone.

Water, shade and mobility needs are your call, not the bus's, but they change the plan. If you've got older guests, kids or anyone using a scooter, ask the Garden which accessible route links your event space to the loading point — the distances aren't all the same.

Keep guest transport separate from the caterer

A private event has vendor setup, catering deliveries and guests all arriving, and they shouldn't share one vague 'bus entrance' instruction. Get the guest transportation plan from the Venue Planner and let the event team handle service access.

Name one person to run the departure and pick a landmark on the way to the loading zone. If the night moves between ceremony, reception and garden spaces, announce the last shuttle before the move, not after it.

Book the shuttle when you book the venue

Couples come to us about eleven weeks out, earlier than any other kind of group, and the reason is simple: the coaches go first. Ask about shuttles when you sign the venue contract, not after the invitations go out.

Wedding groups also run large. Four in ten need more than a single van's worth of seats, which is why these quotes lean toward coaches. When the hotels are close — and for this venue they usually are — a 28-passenger coach bus doing two loops does the work of a much bigger vehicle.

November, March and October are the Valley's busiest wedding months, which is also when the Garden looks its best. A Friday date is worth considering: plenty of Valley couples choose one, and the big vehicles are far easier to get than on a peak fall Saturday.

Two before the ceremony and two after covers most weddings with guests in Scottsdale or Tempe hotels. Those hotels are 10 to 15 minutes out, so one coach can move sixty to seventy guests in two trips. Start the first pickup 75 minutes before the ceremony and the second load still arrives with time to spare.
About five miles, usually 10 to 15 minutes down Scottsdale Road or Galvin Parkway, and Sky Harbor is roughly the same distance the other direction. Friday and Saturday evening traffic near Old Town can add ten minutes, so pad the last pre-ceremony pickup rather than the first one.
It can be with a little planning. Summer evenings in Papago Park stay warm long after sunset, so keep guests on the air-conditioned vehicle until seating opens and keep the walk short. Ask your coordinator about shade and water at your event space, and check the Garden's current hours, since summer schedules shift.
Absolutely, and December is full of groups doing exactly that. Buy the timed tickets first, then set the pickup so you arrive about fifteen minutes before your entry slot. Most groups spend ninety minutes to two hours inside, which leaves room in a four-hour booking for dinner or another lights stop.
